What is Attendance Tracking?

Attendance Tracking is an add-on that lets your team record member visits in real time using the Cuseum Scanner App. Every scan or manual check-in is logged instantly and visible in your CMS, both in a master log and on each member's individual profile.

How do I set up the Cuseum Scanner App?

  1. 1. Download the app for Android or iOS.

  2. In the CMS, go to Attendance Tracking > Locations and add the places you'll be tracking (e.g., Main Entrance, Gift Shop, Event Hall).

  3. Go to Scanner Devices and create a device entry. This generates a Pairing QR Code.

  4. Open the app and tap Scan Pairing QR Code, then scan the code from the CMS. The app pairs with that device and moves to the main scanning screen. The device's status in the CMS updates to Paired automatically.

  5. In the app, tap Current Location and select where this device will be scanning. This persists across app sessions, so you won't need to re-select it each time you reopen the app.

**A few things to know about pairing:**

  • The relationship between a CMS scanner device and an app installation is strictly 1:1 — one device record pairs with one phone/tablet at a time.

  • Only devices marked both Active and Unpaired in the CMS can be paired via QR code. If a device shows Inactive or is already Paired, generate a new device record or reactivate/unpair the existing one first.

  • Card scans and manual check-ins are only accepted from scanner devices marked Active. An inactive device won't be able to record attendance even if it's already paired.

How do I record a visit?

**Scan Card:** Tap Scan Card to open the camera and scan a member's digital membership card (any barcode/QR format supported by your Pass Manager template works). Depending on the result, you'll see one of four outcomes:

  • **Valid Card** — membership is active; attendance is recorded automatically and the member's details are displayed.

  • **Card Expired** — membership has lapsed; staff can still grant access by tapping Allow Entry Anyway.

  • **Entry Allowed** — confirms an expired-card override; the visit is recorded.

  • **Error** — the code couldn't be matched to a member; a Go Back option lets staff retry or search manually instead.

**Search Member:** If a card can't be scanned, or a member doesn't have one handy, tap Search Member to look them up using the same filters as the CMS member search: name, external ID, member number, barcode, or phone number. Selecting a member brings up an Allow Entry? dialog showing their name, ID, and membership status — confirming records the visit.

What happens with expired memberships?

The app doesn't block entry automatically. When a card scan comes back Card Expired, staff see the option to Allow Entry Anyway. Choosing this both grants access and logs the attendance record, so there's always a paper trail even for manual overrides.

What happens if the selected location gets deactivated?

If a location is deactivated in the CMS while a scanner device still has it set as its current location, the app blocks further activity at that device:

  • Any attempt to scan a card or search for a member returns a "Location is not active" error.

  • The attendance record is not saved.

  • The app automatically clears the device's current location, so staff must select a new active location before they can continue scanning or searching.

This is by design, to prevent visits from being logged against a location that's no longer valid.

Can I manage multiple locations?

Yes. Under Attendance Tracking > Locations in the CMS, you can:

  1. Create new locations

  2. Rename existing ones, or mark them valid/invalid

  3. Delete locations

Each location also shows a running total of attendances recorded there, so you can see traffic patterns at a glance.

Where can I review attendance history?

  • **CMS — Attendance tab:** A paginated log of every recorded visit, most recent first. Filter by date range (leaving "From" set with "To" empty defaults to today) and by location (defaults to All Locations).

  • **Member profile:** Scroll to the Attendance section on any External User record to see that person's full visit history — location and date for each entry — without leaving the CMS.

  • **Scanner Devices tab:** Shows every registered device, its Active/Inactive status, Paired/Unpaired status, and its Pairing QR Code for re-pairing if needed.

Does the app support dark mode?

Yes — the app automatically adapts its appearance to match whatever light/dark theme is set on the device. No separate configuration is needed. Perfect to safeguard your staff members' eyes during night shifts and night events!


Quick troubleshooting checklist

  • **Can't pair a device?** Confirm it's marked Active and Unpaired in the CMS Scanner Devices list.

  • **Scans failing at a location?** Check whether that location was recently deactivated — you'll need to pick a new one on the device.

  • **Attendance not saving?** Verify the scanner device itself is still Active; inactive devices are blocked from recording visits even once paired.
